Man and Van Swiss Cottage Health and Safety Policy
Man and Van Swiss Cottage is committed to providing a safe and healthy working environment for all employees, contractors, customers and members of the public who may be affected by our removal and transport activities. This policy sets out our approach to managing health and safety across our operations, including domestic moves, office relocations and man and van services.
Policy Statement
Our objective is to prevent injury, ill health and damage to property arising from our work. We recognise our duty to comply with applicable health and safety legislation and to follow industry best practice for the removals and transport sector. We will continually seek to improve our health and safety performance through planning, training, supervision and monitoring.
This policy applies to all workers engaged by Man and Van Swiss Cottage, whether permanent, temporary or subcontracted, and to all activities undertaken on customers premises, on the road and in any storage or operational locations we use.
Management Responsibilities
Management is responsible for implementing this Health and Safety Policy and ensuring appropriate resources are made available. This includes providing vehicles, equipment and systems of work that are safe and without undue risk to health when properly used.
Management will
Ensure that health and safety risks arising from our removal and transport services are identified, assessed and controlled.
Maintain safe working procedures for lifting, carrying, loading, unloading and securing goods in transit.
Provide instruction, information, supervision and training so that employees and contractors are competent to carry out their duties safely.
Ensure vehicles and equipment are inspected, maintained and serviced in line with manufacturer guidance and legal requirements.
Investigate incidents, near misses and reported hazards, and take appropriate corrective and preventive action.
Review this policy regularly and update it when necessary to reflect changes in legislation, guidance or our operations.
Employee Responsibilities
All employees and contractors working for Man and Van Swiss Cottage share responsibility for maintaining a safe working environment and must
Take reasonable care for their own health and safety and that of others who may be affected by their actions.
Follow all health and safety procedures, safe systems of work and instructions provided by management.
Use vehicles, tools, lifting equipment and personal protective equipment correctly and report any defects immediately.
Refrain from any behaviour that could put themselves, colleagues or customers at risk, including unsafe manual handling or driving practices.
Report accidents, incidents, near misses and unsafe conditions as soon as possible so that appropriate action can be taken.
Risk Assessment and Safe Working Procedures
We will undertake risk assessments for our core activities, including packing, loading, unloading, moving items within properties, transporting goods and operating in restricted spaces such as stairwells, corridors and loading areas.
Where significant risks are identified, we will implement control measures and safe working procedures. This may include
Planning each job in advance and assessing access, parking and potential obstructions.
Using appropriate lifting techniques, equipment and team lifting for heavy or bulky items.
Ensuring clear communication and coordination between team members during moves.
Setting out traffic management and loading procedures in busy streets or shared access areas.
Ensuring that items are properly secured in vehicles to prevent movement and damage during transit.
Manual Handling and Use of Equipment
Manual handling is a core part of our removals work. We will reduce the risk of injury through
Providing training in safe lifting and handling techniques.
Assessing the weight, size and shape of items before moving them.
Using appropriate equipment such as trolleys, dollies, straps and blankets where necessary.
Avoiding single-person lifts for items that require team handling.
Encouraging staff to stop and seek assistance where they feel a task is unsafe.
All equipment used in the course of our work will be suitable for its purpose and maintained in good condition.
Vehicle Safety and Driving Standards
We recognise that driving and loading vehicles are key risk areas for our business. To manage these risks we will
Ensure that drivers are appropriately licensed, competent and medically fit to drive.
Maintain vehicles in a roadworthy condition with regular checks and servicing.
Require adherence to safe driving practices, including speed limits and traffic regulations.
Ensure loads are evenly distributed and secured to prevent shifting during transport.
Plan routes, where possible, to minimise time pressure and avoid unnecessary risk.
Customer Premises and Public Safety
Our work often takes place on customer premises and in public areas. We will take reasonable steps to protect customers, visitors and the public by
Maintaining tidy work areas and keeping access routes as clear as reasonably practicable.
Using caution when carrying items through communal spaces, entrances and pavements.
Minimising noise, obstruction and disruption in shared or residential areas.
Promptly addressing any hazards created during our work, such as trip hazards from packaging materials.
Training, Information and Supervision
We will provide appropriate training to employees and contractors so they understand their responsibilities and can work safely. Training may cover
Health and safety awareness and company procedures.
Manual handling and use of moving equipment.
Safe loading and unloading of vehicles.
Driving standards and road safety where relevant.
New staff will receive an introduction to our health and safety arrangements, and ongoing refresher training will be provided as needed. Supervision will be proportionate to the level of risk and the experience of the individuals involved.
Accidents, Incidents and Emergency Procedures
All accidents, incidents and near misses must be reported to management. We will record and, where required, investigate incidents to identify root causes and implement improvements.
Employees must familiarise themselves with emergency procedures for fire, evacuation and first aid relevant to the sites where they are working. When working at customer premises, our teams will cooperate with any local emergency arrangements in place.
Policy Review
This Health and Safety Policy will be reviewed regularly and whenever there are significant changes to our activities, legislation or best practice guidance. Updated versions will be communicated to all employees and contractors so that everyone understands our current arrangements and expectations.
By following this policy and working together, Man and Van Swiss Cottage aims to provide safe, reliable and responsible removal and transport services for all customers in our service area.
